Scope of This Privacy Policy

This Privacy Policy outlines how My Quire gathers, utilizes, and shares information, along with the choices you hold regarding that information.
The updates in this version of the Privacy Policy reflect adaptations to data protection laws. Furthermore, we’ve improved the clarity and comprehensibility of the Privacy Policy by:
structuring it into the sections enumerated in the Table of Contents below,
offering various examples to demonstrate how these policies may be enacted by My Quire, and
defining and capitalizing certain terms that are frequently used for ease of understanding and brevity.
When we mention “My Quire,” we are referring to the entity that serves as the controller or processor of your information, as detailed in the “Identifying the Data Controller and Processor” section below.
This Privacy Policy is applicable to My Quire’s online productivity tools and platform, which includes related My Quire mobile and desktop applications (collectively referred to as the “Services”), My Quire and other websites (collectively termed the “Websites”), and any other interactions (such as customer service inquiries, user conferences, etc.) you may have with My Quire. If you disagree with these terms, please refrain from accessing or using the Services, Websites, or any other aspect of My Quire’s operations.
This Privacy Policy does not extend to any third-party applications or software that connect with the Services via the My Quire platform (“Third Party Services”), nor to any other third-party products, services, or businesses. Additionally, a distinct agreement governs the delivery, access, and use of the Services (the “Customer Agreement”), which includes the processing of any messages, files, or other content submitted through Services accounts (collectively referred to as “Customer Data”). The organization (for instance, your employer or another entity or individual) that entered into the Customer Agreement (“Customer”) manages their instance of the Services (their “Organization”) and any corresponding Customer Data. Should you have queries regarding specific Organization settings and privacy practices, please reach out to the Customer associated with the Organization you use. If you have been invited to join an Organization but have not yet established an account, you should seek assistance from the Customer that sent you the invitation.
Information We Collect and Receive
My Quire may gather and receive Customer Data and additional information and data (“Other Information”) through various means:
Customer Data. Customers or individuals authorized access to an Organization by a Customer (“Authorized Users”) commonly submit Customer Data to My Quire during their use of the Services.
Other Information. My Quire also collects, generates, and/or receives Other Information:
1. Organization and Account Information
To create or modify an Organization account, you or your Customer (such as your employer) must provide My Quire with an email address, phone number, password, and/or similar account details. Furthermore, Customers who purchase a paid version of the Services supply My Quire (or its payment processors) with billing information including credit card data, bank information, and/or a billing address.
2. Usage Information
Services Metadata. When an Authorized User engages with the Services, metadata is created that adds context regarding how Authorized Users operate. For instance, My Quire records the organizations, deals, projects, individuals, features, content, and links you interact with, along with the types of files shared and any Third Party Services utilized.
Log data. Similar to most websites and technology services accessed over the internet, our servers automatically gather information when you use our Websites or Services and log it in files. This log data may contain the Internet Protocol (IP) address, the URL of the webpage visited prior to accessing the Website or Services, browser type and settings, the timestamp when the Services were accessed, information about browser configurations and plugins, language preferences, and cookie data.
Device information. My Quire gathers information about the devices that access the Services, including the device type, the operating system being used, device settings, application IDs, unique device identifiers, and crash reports. The extent of the Other Information we collect often depends on the specific device and its settings.
Location information. We obtain information from you, your Customer, and other third parties that assists us in approximating your location. For example, we might use a business address provided by your employer or an IP address from your browser or device to estimate your location. My Quire might also collect location data from devices following the consent process outlined by your device.
3. Cookie Information.
My Quire employs cookies and similar technologies on our Websites and Services to help us gather Other Information. Additionally, the Websites and Services may feature cookies and comparable tracking technologies from third parties, which can gather Other Information about you through the Websites and Services and across other online platforms.
4. Third Party Services.
Customers can decide to allow or restrict Third Party Services for their Organization. Generally, Third Party Services are software that integrates with our Services, and Customers can allow their Authorized Users to enable or disable these integrations for their Organization. When activated, the provider of a Third Party Service may share specific information with My Quire. For instance, if a cloud storage application is enabled to allow file imports into an Organization, we may receive the Authorized User’s name and email address, along with any additional information the application has chosen to share with My Quire to facilitate the integration. Authorized Users should review the privacy settings and notifications in these Third Party Services to understand what data may be shared with My Quire. When a Third Party Service is enabled, My Quire is permitted to connect and access Other Information provided to My Quire according to our agreement with the Third Party Provider. Nonetheless, we do not obtain or store passwords for any of these Third Party Services when linking them to the Services.

According to the consent procedures set by your device, any contact details that an Authorized User wishes to import (such as an address book from a device) are gathered while utilizing the Services.

External Data.
My Quire may obtain information regarding organizations, industries, Website visitors, marketing initiatives, and various matters relevant to our business from parent corporations, affiliates, subsidiaries, partners, or other sources to enhance our information. This data may be merged with Other Information we gather and could include aggregate level data, such as which IP addresses align with specific zip codes or countries. Alternatively, it might be more detailed: for instance, the effectiveness of an online marketing or email campaign.
7. Supplementary Information Provided to My Quire.
We gather Other Information when it is sent to our Websites or if you take part in a focus group, contest, activity, or event, apply for employment, request assistance, engage with our social media profiles, or otherwise reach out to My Quire.
Generally, there is no legal or contractual requirement for anyone to provide any Customer Data or Other Information (collectively, “Information”). However, certain information is collected automatically, and if specific details such as Organization setup information are not supplied, we might be unable to deliver the Services.
How We Utilize Information
Customer Data will be used by My Quire in line with the Customer’s directives, including any relevant terms in the Customer Agreement and the Customer’s use of Services features, as required by applicable law. My Quire acts as a processor of Customer Data while the Customer is the controller. For example, Customers can use the Services to grant and revoke access to an Organization, assign roles and configure settings, access, modify, export, share, and delete Customer Data, and implement their policies within the Services.
My Quire leverages Other Information to pursue our legitimate interests in managing our Services, Websites, and business. Specifically, My Quire employs Other Information for:
To supply, update, maintain, and safeguard our Services, Websites, and business. This encompasses using Other Information to facilitate Service delivery under a Customer Agreement, resolve service errors, security or technical challenges, analyze and observe usage, trends, and other activities, or at the request of an Authorized User.
As mandated by applicable law, legal processes, or regulations.
To engage with you by addressing your inquiries, comments, and concerns. If you reach out to us, we might utilize your Other Information to provide a response.
To create and offer search, learning, and productivity tools, as well as additional features. My Quire strives to enhance the Services for particular Organizations and Authorized Users. For instance, we may refine search functionalities by utilizing Other Information to assess and prioritize the relevance of content or expertise to an Authorized User, propose Services based on past usage and predictive models, detect organizational trends and generate reports, customize the Services experience, or develop new productivity features and products.
To send emails and other forms of communication. We may reach out to you with service-related, technical, and administrative emails, messages, and various types of communications. We might also notify you about modifications to our Services, our service offerings, and significant Services-related announcements, such as security and fraud alerts. These communications are regarded as a part of the Services, and you may not opt out of them. Moreover, we occasionally dispatch emails regarding new product features, promotional updates, or other news related to My Quire. These are marketing communications, and you have control over whether you receive them.
For billing, account management, and various administrative tasks, My Quire may need to reach out to you regarding invoicing, account management, and related matters, utilizing account data to manage accounts and monitor billing and payments.
To investigate and mitigate security risks and misconduct.
If information is aggregated or anonymized so that it cannot be reasonably linked to an identified or identifiable person, My Quire may utilize it for any legitimate business purpose. In cases where information is linked to an identified or identifiable individual and is protected as personal data under applicable data protection legislation, it will be referred to in this Privacy Policy as "Personal Data."
Data Retention
My Quire will hold onto Customer Data in accordance with the Customer’s instructions, including any relevant terms in the Customer Agreement and the Customer’s utilization of Services functionality, as well as in compliance with applicable law. Depending on the Services plan, Customer Data is retained for as long as the Customer utilizes Services. After the Customer cancels their use of Services, Customer Data will be retained for a duration of 5 years, after which it will be permanently erased.
The Customer may request My Quire to erase their Customer Data at any time following the cancellation of their use of Services by sending a request to info@myquire.com.
The removal of Customer Data and any other use of the Services by the Customer may lead to the deletion and/or anonymization of certain associated Other Information. For additional specifics, please reach out to Customer. My Quire may retain Other Information related to you for as long as necessary for the purposes outlined in this Privacy Policy. This may include retaining your Other Information even after you have deactivated your account for the time needed for My Quire to pursue legitimate business interests, conduct audits, comply with (and demonstrate compliance with) legal obligations, resolve disputes, and enforce our agreements.
Intent To Become an Employee
When you provide your personal data in the “Apply for this position” form, it will be used exclusively for the position you are applying for, or for the first position we believe may suit your profile if you are applying for a generic role. We retain your data solely during the job recruitment process. You also have the option to request that we keep your data for five years after the conclusion of the recruitment process you are applying for. If an opportunity arises during that timeframe, we will notify you via email. You can modify this preference anytime by emailing us at info@myquire.com. For the processing of personal data for My Quire’s recruitment needs, we utilize a third-party applicant tracking system developed by WORKABLE, USA, Boston, which is designed to handle your personal information with the utmost integrity. Workable will manage your data respectfully, and for further details, please refer to their Privacy Policy. When you reach out to us regarding new business, employment, sponsorship, media inquiries, or any other matters via info@myquire.com, we will first assess the nature of your inquiry. If it involves personal information, we will handle this information following the procedures dictated by these Rules for specific kinds of personal data, or in a manner prescribed by law.
How We Share and Disclose Information
This section outlines how My Quire may share and disclose Information. Customers set their own guidelines and practices regarding the sharing and disclosure of Information, and My Quire does not have control over how they or any external parties decide to share or disclose Information.
Customer’s Instructions. My Quire will only share and disclose Customer Data following a Customer’s instructions, which include any relevant terms outlined in the Customer Agreement and the Customer's utilization of Services functionality, while also adhering to applicable laws and legal processes.
Displaying Services. When an Authorized User submits Other Information, it may be visible to other Authorized Users within the same or connected Organizations. For instance, an Authorized User’s email address could appear in their Organization profile.
Collaborating with Others. The Services offer various ways for Authorized Users within an Organization to collaborate, such as through public projects. Other Information, like an Authorized User’s profile Information, may be shared according to the policies and practices of the Organization(s).
Customer Access. Owners, administrators, Authorized Users, and other representatives and personnel of the Customer may have the ability to access, alter, or limit access to Other Information. For example, your employer may utilize Service features to export activity logs of the Organization or access or change your profile information.
Third-Party Service Providers and Partners. We may engage external companies or individuals as service providers or business partners to handle Other Information and support our operations. These third parties might, for example, offer virtual computing and storage services. Further details about the subprocessors we engage for delivering our Services can be found at My Quire Subprocessors.
Third-Party Services. Customers may allow or permit Authorized Users to activate Third Party Services. When activated, My Quire may share Other Information with these Third-Party Services. These Third-Party Services are not owned or controlled by My Quire, and the third parties granted access to Other Information may have their own policies regarding its collection and use. Please review the privacy settings and notices in these Third-Party Services or reach out to the provider with any questions.
Corporate Affiliates. My Quire may share Other Information with its corporate affiliates, parent companies, and/or subsidiaries.
During a Change to My Quire’s Business. In the event My Quire undergoes a merger, acquisition, bankruptcy, dissolution, reorganization, the sale of some or all of its assets or stock, financing, public offering of securities, acquisition of any portion of its business, a similar transaction or process, or preparatory steps for such activities (e.g., due diligence), some or all Other Information may be shared or transferred, adhering to standard confidentiality agreements.
Aggregated or De-identified Data. We may disclose or utilize aggregated or de-identified Other Information for any purpose. For example, we may share aggregated or de-identified Other Information with potential clients or partners for business or research purposes, such as informing a prospective My Quire customer of the average time spent within a standard Organization.
To Comply with Laws. If we receive an information request, we may disclose Other Information if we reasonably believe that such disclosure complies with or is mandated by relevant laws, regulations, or legal processes.
To enforce our rights, prevent fraud, and for safety. To protect and uphold the rights, property, or safety of My Quire or third parties, including enforcing agreements or policies, or when investigating and preventing fraud or security issues.
With permission, My Quire may disclose Other Information to third parties when we have the necessary consent.
Safety
My Quire places a high priority on data security. We make diligent efforts to safeguard Other Information you provide against loss, misuse, and unauthorized access or disclosure. These measures consider the sensitivity of the Other Information we collect, process, and retain, as well as the current state of technology. To learn about our current practices and policies regarding the security and confidentiality of our Services, please refer to our Security Practices. Due to the nature of communication and information processing technologies, My Quire cannot assure that Information, while being transmitted over the Internet or stored on our systems or in our custody, will be completely safe from unauthorized access.
Age Restrictions
To the extent that the law prohibits it, My Quire does not permit anyone under the age of 16 to use our Services and Websites. If you become aware that someone under 16 has unlawfully shared personal data with us, please notify us so that we can take action to delete that information.
Modifications to This Privacy Policy
My Quire may revise this Privacy Policy occasionally. Changes in laws, regulations, and industry standards might necessitate these revisions, or we may modify them due to business needs. We will update this page with any changes and encourage you to review our Privacy Policy to remain informed. International Data Transfers - Privacy Shield and Contractual Terms
My Quire may move your Personal Data to countries outside of the one where you reside. We implement the following safeguards when transferring Personal Data from the European Union to countries that are not considered adequate according to applicable data protection laws:
European Union Model Clauses. My Quire utilizes European Union Model Clauses, also referred to as Standard Contractual Clauses, to fulfill the adequacy and security requirements for our Customers operating in the European Union as well as other international transfers of Customer Data.

Identifying the Data Controller and Processor
Data protection laws in some jurisdictions distinguish between the "controller" and "processor" of data. Generally, the Customer acts as the controller of Customer Data, while My Quire typically operates as the processor of Customer Data and the controller of Other Information. The My Quire entity providing the Services is The My Quire Company, Inc., based in Delaware. The My Quire Company, Inc. is responsible for Other Information and serves as a processor of Customer Data concerning Authorized Users utilizing Organizations established for Customers.
Your Rights
Residents of specific countries, including those in the European Economic Area, possess certain legal rights concerning their personal data. Subject to any legal exemptions, you may have the ability to request access to your Information, as well as to update, delete, or correct this Information. You can typically accomplish this by reaching out to the Customer for further access and assistance. To the extent that My Quire processes your Personal Data in accordance with the General Data Protection Regulation, My Quire relies on its legitimate interests, as outlined earlier, to handle your data. Additionally, My Quire may use Other Information that qualifies as your Personal Data for direct marketing purposes, and you have the right to object to My Quire’s usage of your Personal Data for this aim at any moment.
